# Inventory

> Declare the AI services your organisation has chosen to use, and see where each one stands on risk.

## What Is the Inventory?

The inventory is your organisation's own list of the AI services it has chosen to use. You pick them from the [service catalogue](/insights/service-catalog), and Velatir groups them under the provider they come from, for example ChatGPT under OpenAI.

Any service that is used but is not in the inventory counts as **Shadow AI**. Declaring a service tells Velatir it is sanctioned, so you can tell sanctioned use apart from everything else in Insights and Sessions.

Open **Inventory** from the sidebar.

<Note>
  Every member with access to the whole organisation can view the inventory. Only administrators can declare, undeclare, or record treatments. See [Roles & permissions](/platform/roles-and-permissions).
</Note>

## Declare Services

<Steps>
  <Step title="Open the picker" icon="clipboard-list">
    In **Inventory**, select **Declare service(s)**. The service catalogue opens with your declared services already selected.
  </Step>

  <Step title="Select the services you use" icon="search">
    Search or filter the catalogue and tick each service your organisation uses. You can also open a service and tick **Declared service** from its detail view.
  </Step>

  <Step title="Confirm" icon="check">
    Close the picker with your selection. New services appear under their provider, and the page scrolls to the first one you added.
  </Step>
</Steps>

Clearing a ticked service in the same picker undeclares it.

You can also declare a service from where you see it in use. Select a service name in **Sessions** or **Insights** to open its menu, then select **Declare service**.

<Accordion title="Declaring or undeclaring many services at once" icon="layers">
  The inventory is meant for the services your organisation has chosen, so most organisations add a few at a time. If a single change declares or undeclares more than 100 services, Velatir asks you to confirm it first. Changes of 1,000 services or more at once are not accepted. Select fewer and try again.
</Accordion>

## The Inventory Page

Each provider has its own card. The card lists the provider's declared services, and for providers Velatir can connect to, its [connections](/connectors/overview).

Use **Find by service or provider** at the top of the page to narrow the list. Searching for a provider shows all of its services.

Each declared service shows:

| Column or button | What it shows |
| - | - |
| **Risk assessment(s)** | Badges for open critical risks, open cautions, changes to review, and active treatments. Rest on a badge to jump to the step that deals with it. |
| **Declared use cases** | What the service is approved for. See [Use cases](/insights/use-cases#declare-what-a-service-is-for). |
| **Treat risks** | Opens the service's risk assessment. Once every open risk is treated, the button reads **View risk management**. |
| **Undeclare** | Removes the service from the inventory, after you confirm. |

The risk assessment, treatments, and changelog are covered in [Service risk](/inventory/service-risk).

## Undeclare a Service

Select **Undeclare** on the service's row and confirm. The service leaves the inventory, and its use counts as Shadow AI from then on.

Its treatments and changelog are kept. Velatir stops raising changes to the service unless it still holds an active treatment.
